Position Summary

The Assistant Facility Manager’s role is to plan, implement and evaluate patient care programs designed to increase, maintain or restore function, minimize or prevent disability, and assist patients in reaching their maximum performance levels.



Responsibilities



Responsibilities:            

Under the direct supervision of the Facility Manager, the Assistant Facility Manager is responsible to:      

  • Ensure compliance with Medicare, OSHA and QA standards.
  • Coordinate annual CPR re-certification of staff
  • Organize daily, weekly, monthly cleaning logs
  • Conduct review of Infection Control/Disaster Plan and QA binders
  • Conduct review of fire prevention and safety
  • Ensure proper storage of medications and linens
  • Appoint QA coordinator and assist with QA data collection
  • Responsible for P.T. /O.T. Aide staffing, orientation and scheduling.
  • Interview and hire qualified P.T./O.T. Aides for clinical support
  • Coordinate Aide competency training and examination
  • Organize Aide schedule in order to ensure adequate clinical coverage
  • Oversee clinical supply inventory and ordering.
  • Responsible for tabulation of weekly and monthly facility statistics.
  • Responsible for daily operations of clinic in Facility Manager’s absence.
  • Assist in planning and organization of quarterly staff meetings.
  • Provide input on annual performance appraisals and 90-day reviews for professional and support staff.
  • Provide input on bonus forms for professional and support staff.
  • As necessary, attend managers and other meetings. Review weekly referrals (case managers, new docs) with FM, who to target, how, etc.
  • Sending marketing packets to new referral sources, thank you notes, follow-up. Identify those that need AthletiCo info/packet and those that need added to respective mailing lists.
  • Communication with FM/AFM on relationship building classes and prioritizing clinicians registration.
  • Making sure promo material is sufficient, displayed appropriately per clinic.
  • Coordinating any changes/additions of clinic’s doctor list to Pam O’Brian.
  • Working with Marketing Department to help put together a Relationship Building   Mentorship program.
  • Helping facilitate communication from Marketing Department to clinics on all matters relating to Relationship Building or Marketing elements.
  • Point person for local community events (i.e.:  staffing and set-up at a 5K run) assisting in staffing/setting up.      
  • Soliciting staff for expo/exhibitive booth participation.
  • Assist Facility Manager on luncheons and cocktail hour set-up, plus quality of these luncheons/cocktail hours.
  • Secondary Referral – making sure this is inputted correctly, educating Office coordinators on importance of this, educating clinicians on learning exactly how the patient/client chose to attend therapy/personal training/massage/Pilates at AthletiCo, etc..
  • Tracking system – making consistent tracking from program to program as well as facility to facility and finding a way to utilize this system effectively.
  • Assisting with Doctor list per clinic for quarterly doctor drop-offs and working with staff to get the gift and other AthletiCo-related information delivered in an appropriate time frame.
  • Assist with Patient Appreciation suggestions for gifts and fulfillment of patient appreciation days.
  • Assisting/coordinating cross marketing within clinic.
  • Available to meet at least one time per year with Marketing Department.
  • Available for conference calls when appropriate.


Qualifications

QUALIFICATIONS:

  • Bachelor’s (i.e. Exercise Science related field), Masters or Doctorate Degree from an accredited Physical Therapy Program, Occupational Therapy Program, or Athletic Training Program
  • Current Illinois Professional licensure
  • Current CPR Certification
  • Energetic and a team player
  • Able to demonstrate compassion toward patients
